Veterinary Medical and Surgical Group in Ventura, is looking for both part-time and full-time Client Service Representative to join our team. We are state-of-the-art veterinary referral and emergency hospital with over 33 years in our community. As a Client Service Representative you are often the first point of contact with a new client or referring veterinarian.
If you are an enthusiastic, energetic and compassionate individual with 1-2 years of veterinary reception or assisting skills, we would like to talk with you. The ideal candidate will be able to join our experienced team without missing a beat, have great communication skills, and is not afraid to juggle multiple clients at one time. Avimark experience is a major plus!
Duties and Responsibilities:
- Greet clients in a friendly, professional, and efficient manner
- Answer multi-line phone system and direct the calls accordingly
- Obtain medical and other information from referring vets
- Schedule and confirm appointments
- Notify appropriate departments that patients have arrived
- Scan medical records
- Make sure the lobby and reception areas are organized and neat, including stocking and cleaning the beverage areas for clients
- Fax, file, and distribute faxes and other documents
- Obtain deposits and other payments from clients
- Use email system
Position duties include:
- Triaging clients, scheduling appointments and managing the reception area
- Receiving and handling high-volume telephone calls
- Patient intake and discharge
- Constant communication with our doctors, technician team, and pet owners

Position Overview: The Hospital Administrator works daily to develop an efficient and effective hospital support team by fostering an environment of trust, teamwork, and accountability. The Hospital Administrator partners with the Veterinarian to provide an efficient and profitable operation by driving revenue and managing costs while creating a hospital culture based on high-quality patient care and excellent customer service.
Essential Position Functions:
- Supervises the staff within all hospital support departments; achieves and maintains all labor goals.
- Hires and trains office and technical clinic support staff; responsible for new hire paperwork.
- Orients and trains new clinic staff to the hospital and duties.
- Reviews work performance of direct reports, constructively delivers feedback, resolves personnel issues, and discussions with the Regional Manager weekly.
- Conducts timely performance appraisals.
- Documents and reports accidents; files appropriate reports.
- Writes policies/procedures relating to all technical aspects of the hospital and presents for approval.
- Manages schedules for technical and administrative staff coordinates the DVM.
- Monitors Workforce Management for missed punches and management of overtime hours daily.
- Administers the daily operations.
- Works with the PetVet Care Centers support team to ensure compliance with all administrative responsibilities.
- Monitors budgets, purchases equipment and supplies, and oversees the maintenance of the facility.
- Responsible for submitting contract veterinarian invoices, submitting all local vendor invoices, ensuring invoice accuracy, and obtaining w9’s from local vendors.
- Assists in resolving issues with pet owners where appropriate.
- Reviews revenue, labor, and employee issues with the PetVet leadership on a weekly conference call; achieve goals set in each area.
- Responsible for all local accounting functions; ensure daily financial information is accurate.
- Oversees the management of the inventory and ensures proper documentation and systems are in place.
- May establish and oversee billing practices; reviews and maintains the accuracy of billing and oversees charge capturing.
- May be responsible for contracts or negotiations with insurance providers.
- Maintain compliance of current licensure and the display of the same. Maintaining updated licenses for DVMs.
- Performs other duties and responsibilities as assigned by the Manager.

Qualifications:
- Bachelor’s degree in business, health science or related field strongly preferred.
- At a minimum, five years of direct office management experience, including at least two years of supervisory experience is required.
- Certified Veterinary Practice Manager (CVPM) or Master of Healthcare Administration (MHA) is preferred.
- May consider an equivalent combination of education, certification, training, and/or experience.

Position Overview:
The Veterinary Technician supports hospital operations by providing dedicated quality veterinary care and exceptional service to our patients and clients. Responsibilities include providing patient care by determining animal requirements, conducting examinations and diagnostic procedures, assisting during surgery and operations, providing nursing care, assisting with feeding and caring for patients, maintaining medical supplies and equipment, overseeing triage and discharging patients, and maintaining patient medical records.
Essential Position Functions:
- Determine animal requirements by conducting examinations and interviews, reviewing care plans and records, completing laboratory tests and studies, and diagnostic imaging.
- Care for patients by taking vital signs, collecting samples, administering medications, drugs, and vaccines, and bandaging and wrapping wounds.
- Support patient examinations and operations by assembling required supplies and instruments, securing and bringing patients to examination rooms, and restraining patients; aids as directed by the veterinarian.
- Provide excellent pet care by applying full knowledge of anatomy, physiology, disease processes, pharmacology, specialized equipment usage, and specialized drug administration.
- Obtain and verify medications.
- Ensure that patients have food and water, clean patients' rooms, cages, and equipment; observe patients for clinical signs of disease.
- As directed, fill prescriptions and administer medications, including proper documentation, logging, and security of controlled drugs.
- Maintain a safe, secure, healthy, and humane environment by sterilizing and wrapping instruments, sanitizing and disinfecting holding and operating areas, storing sterile supplies, verifying shelf life, following standards and procedures, and in compliance with applicable legal regulations.
- Maintain medical records by documenting patients’ conditions, reactions, and changes; update the database in an accurate and timely manner.
- Communicate with the pet owner about the status of the patient, as directed by the veterinarian.
- Maintain equipment by following operating instructions, troubleshooting breakdowns, maintaining equipment supplies, performing preventive maintenance, and calling for repairs.
- Maintain inventory, place orders for needed supplies, verify, and maintain receipts.
- Update job knowledge by participating in educational opportunities and reading professional journals.
- Release pets to their owners as directed; ensure that every animal released is clean and properly groomed before their release.

Cardiology
- Collect and submit laboratory samples.
- Identify common and acquired cardiac disorders and arrhythmias.
- Set up and calibrate transducers/physiographs to measure intracardiac and intravascular pressures.
- Understand the basic physiology and engineering of pacemakers.
Dentistry
- Perform dental cleanings, polishing, and intraoral radiographs.
- Perform nerve blocks.
- Assist with dental procedures and oral surgery.
Dermatology
- Prepare and administer medications, intravenously, orally, and topically.
- Perform ear cleanings and minor flushes.
- Obtain skin scrapes and tape samples.
- Prepare skin and ear cytology.
- Induce and monitor anesthesia.
- Place intravenous catheters.
Emergency
- Assist veterinarians with a variety of emergency procedures and critical care situations.
- Monitor vitals, place catheters and take x-rays.
- Clean wounds and apply casts or bandages.
- Give injections and take blood samples.
- May have to be on call in the intensive care unit.
Imaging
- Assist veterinarians with a variety of diagnostic imaging modalities, including digital radiography, computed tomography, magnetic resonance imaging, ultrasound, etc.
Integrative
- Maintain logs of pet diagnoses, treatments, and follow-up results so veterinarians can track responses to integrative care.
Internal Medicine
- Research general wellness and preventative medicine for patients.
Neurology
- Perform various technical procedures, including anesthesia support and monitoring, intravenous catheter placement, venipuncture, IV injections, wound management, drug administration assistance, bandage care, surgery support, and various routine diagnostic Electromyography (EMG) testing.
Oncology
- Assist veterinarians with pet assessment, diagnostics, treatments, and procedures.
- Provide empathy, comfort, and unparalleled nursing care to all pets and serves as a strong pet advocate during the pet's hospitalization.
- Prepare and administers various chemotherapeutic agents.
- Provide the owner with extensive communication and education on various oncology disease processes.
Ophthalmology
- Assist veterinarians with ocular exams.
- Perform and/or assist with diagnostic testing (Schirmer Tear Testing, Tonometry, Ocular Ultrasounds, Electroretinogram testing, etc.).
Radiology
- Assist veterinarians with providing high-quality diagnostic imaging services to in-patient, out-patient, surgical, and emergency pets.
Surgery
- Provide extensive surgical assistance by preparing pets, scrubbing, shaving, acting as a surgical nurse, and operating specific surgical equipment and supplies.

Position Knowledge and Skill Requirements:
- Knowledge of the preparation, monitoring, and recovery of pets receiving surgery, as well as basic pet nursing.
- Ability to demonstrate and follow correct procedures in catheter placement, phlebotomy, emergency medicine, and digital radiology.
- Understand and limit the potential exposure to bites, scratches, and potential injuries.
- Able to restrain patients according to standard procedures.
- Fill prescriptions and monitor sedation procedures as directed by the veterinarian.

Responsibilities and Duties
- Positively impact patient care through collaboration with the Surgeons
- Perform high quality anesthetic induction, monitoring, and maintenance for surgeries and imaging
- Participate in helping paralyzed patients walk again
- Acquire histories and assist during surgical consultations
- Assist in surgeries and advanced imaging procedures
- Utilize practice management software to maintain client and patient records
- Provide safe restraint for patients during examinations and procedures
- Perform venipuncture, IV catheter placement, urinary catheter placement, etc.
- Perform and recognize normal physical examination parameters on canine and feline patients
- Calculate medication and fluid doses for administration to hospitalized patients
- Participate in client education
Qualifications and Skills
- Veterinary Technician License in California, or have an active license in another state that qualifies you to be eligible for licensing
- At least two years of Veterinary experience as a RVT, or Assistant prior to licensure
- A flexible schedule that allows the ability to stay late on occasion to help with emergencies
- The ability to handle stressful or emergent situations in a calm and supportive manner
- Excellent communication and customer service skills

Position Overview: The veterinary assistant provides support to the veterinarians and technicians in their daily tasks by cleaning and maintaining equipment, feeding, exercising and grooming patients, preparing and sanitizing surgery suites, restraining and handling patients, and clerical and administrative work. They deliver quality care for all patients and provide exceptional service.
Essential Functions:
- Provide compassionate care to all patients
- Greet patients and their owners as they arrive and show them to an examining room, taking the patient's weight and other vital signs upon arrival
- Triage patients, perform physical exams, treatments, and administer medication as directed by the licensed veterinary technicians (LVT's).
- Calm and soothe anxious patients
- Assist doctors and technicians with the administration of medications or with patient restraint
- Perform laboratory tests and take radiographs
- Operate and maintain hospital equipment, including EKG, fluid pump, syringe pump, scales, anesthetic monitors, and machines, etc.
- Fill prescriptions, calculate and administer medications, maintain proper documentation, logging, and security of controlled drugs.
- Feed patients as prescribed by the attending doctor or as the client has requested; record appetites; recognize and report any unusual conditions or abnormal behaviors
- Communicate in a positive manner with clients and ensure that they feel comfortable leaving their pet(s)
- Maintain the cleanliness of the hospital each day; clean equipment, kennels, and facilities using chemicals and supplies; ensure the safe use of chemicals; complete laundry
- Adhere to the hospital's safety and wellness regulations
- Understand and carry out oral and written directions
- Maintain accurate medical records
- Show up for work regularly; full-time presence at work is essential for every shift
- Promote hospital products and services and support the organization
- Respond respectfully with urgency to directions given by Doctor of Veterinary Medicine (DVM) or Licensed Veterinary Technicians (LVT).
- Perform any other duties as assigned by the Manager; may have other assigned duties if working in a specialty area (i.e., dentistry, surgery, emergency, radiology, cardiology, neurology, internal medicine, etc.)

- Assists veterinarians with a variety of emergency procedures and critical care situations
- Cleans wounds and applies casts or bandages
- Give injections and takes blood samples
- Assists with various technical procedures including intravenous catheter placement, venipuncture, IV injections, wound management, drug administration assistance, bandage care, vital sign monitoring, intubation, surgery support
- Assists veterinarians with patient assessment, diagnostics, treatments, and procedures
- Provides empathy, comfort, and unparalleled nursing care to all patients and serves as a strong patient advocate during the patient's hospitalization
- Assists veterinarians with providing high-quality diagnostic imaging services to inpatient, outpatient, surgical, and emergency patients
